Import (Excel)

This functionality allows you to import new or updated product information into the system from an Excel spreadsheet for several products at once.

Select an Excel file from your computer by clicking on the button under Import File and then click Upload to import it into OPRI. To ensure that the data format matches the OPRI structure, download one of the templates (Food Template, Non-Food Template) first by clicking on the relevant button towards the right, or use a previously exported file.

The Excel template allows you to upload a whole list of products and their properties at once, instead of manually entering them into the datasheets.  The import Excel spreadsheet has drop downs in some columns where only specific information relevant to the column can be entered.

 


Please note when importing a spreadsheet:

 

Do not delete or rename columns, or change any identifiers in the template. If you do so, you may cause conflicting datasheet content or cause a product to show up on OPRI multiple times, where the identifiers could not be matched, and hence a new product was created.

 

Please also be aware that if you are a supplier of a supplier group, you need to switch to the supplier you wish to import for first. Then download the template, and then enter the information to upload. The template contains an identifier for the supplier you are currently working with to avoid the import of product data of an incorrect supplier. This is also helpful when reimporting product data you previously exported. 

 

Note that you can only import the main product information ("Whole Product") for multipack datasheets. You have to manually edit the product data for all other multipack items. 

 

OPRI interprets the cell values of a spreadsheet as text, and only reads out the original content. OPRI does not process special Excel formatting features. 

Note that if you copy values from another source into the Excel template, this may affect the preset text formatting. 

Example: A cell in an Excel spreadsheet is formatted as "Percentage" and a value is displayed as "50%", but the actual value in the cell is "0.5", then the value that is being uploaded to OPRI will be "0.5", not "50%". To maintain a certain look of your cell value, ensure that your spreadsheet cells are all formatted to "Text". If you then enter "50%" as text, the value will be displayed as "50%" on OPRI.

 

When an import has been completed, the screen will advise by each product line if the import was successful or not. There is a "+" symbol which can be clicked to expand out the reasons for a line failing to import.
